Position summary

The Santa Fe Community Foundation processes more than 3,000 gift transactions annually. We are seeking a highly organized professional with strong attention to detail and exceptional customer service and administrative skills. The Development Associate is primarily responsible for the timely and efficient processing of all gift transactions, receipting all contributions, managing and maintaining key aspects of the Foundation's CRM database, providing event support, list management, report creation, frontline customer service, and other donor/development related duties as assigned.

Key Responsibilities

Gift Processing

  • Records all gifts to the Foundation; ensures accurate coding and maintenance of records
  • Creates and implements donor communications and correspondence with accuracy and timeliness
  • Serves as a responsive, high touch donor service contact. This includes responding to inquiries in an accurate and timely manner
  • Maintains electronic and hard copy of donor records as required

 

Database Management

  • Serves as a lead manager/trainer for the software and assists staff in its proper use
  • Designs and pulls reports as needed from C-Suite (SFCF’s CRM), analyzes data, and prepares presentations
  • Assists with gathering data, materials, mailing lists, and implementation of bulk mailings
  • Supports staff in maintaining documents to ensure accuracy and consistency across all records and processes
  • Performs routine and general data maintenance cleanup for various data subsets in C-Suite
  • Data maintenance involves removing duplicate profiles, adding new profiles, updating contact information, and reassigning roles

Event Coordination

  • Assists in the organization of department and organization events including assistance in planning, tracking participation and staffing the event and organizes post event follow-up tasks as needed 
  • Assists in the design and implementation of department events such as prospect gatherings and donor education sessions 
  • Supports efforts to promote and monitor attendance to events 
  • Is an active part of list management for events encompassing data pulls to follow up 
  • Assists with the coordination of Foundation special events such as the Piñon Awards, Guess Who? Get Togethers, and other events including those initiated by component funds of the Foundation 
  • Works with the Development & Donor Relations team on event planning and logistics including, but not limited to general planning, room setup, reservations, decorations, entertainment, ordering food, and marketing 

General

  • Provides support to the Development and Donor Relations Team including assisting with outreach, special events, and communication activities
  • Participates in the development of tracking and reporting systems for donors, prospects, and gifts using C-Suite
  • Maintains and manages clear and accurate donor services operations documents and procedures (for reference purposes), including creating best practice guidelines and standards
  • Researches current and new donors as well as prospective partners and prepares background documentation for general knowledge and donor engagement
  • Assists with special projects of the Foundation as needed
  • Other duties as assigned

Job Requirements

To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   • Education/Experience: Bachelor’s degree (B. A. / B. S.); or four to six years related experience and/or training. Demonstrated experience in delivering accurate accounting, exceptional customer service with database management responsibility, ideally in a philanthropic setting. Nonprofit experience preferred.
  • Computer Skills: To perform this job successfully, an individual should have working knowledge of Microsoft software products (EXCEL, WORD, Microsoft 365) and donor databases, preferably C-Suite.
  • Confidentiality: Must be able to maintain strict confidentiality.
  • Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, common scientific and technical journals, finance reports, and legal documents. Ability to draft routine reports and correspondence in a professional and kind manner. Ability to write speeches and articles for publication that conform to the prescribed style and format. Ability to plan, conduct, and document meetings. Ability to speak effectively before public groups, customers, the board of directors, and employees of the organization.
  • Math and Reasoning Skills: Ability to calculate figures and amounts such as discounts, interest, percentages, and fees. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Teamwork & General Skills: Demonstrated ability to work, somewhat independently, under the direction of Vice President of Development & Donor Relations. Ability to positively contribute towards and work on a team. An initiative-taker. Accepts responsibility for one’s actions and follows through on commitments. Asks for and offers help, when needed. Strives to continuously build knowledge and skills.
  • Prior Experience: Successful history managing high-volume gift entry and record-keeping. Demonstrated ability to complete high-volume work accurately and efficiently. Demonstrated experience and successful track record in philanthropic development.
